Tracking hours by project for your funders

A non-profit funded by several grants often has to report how many hours each employee spent on each project. The final grant report asks for it, and the numbers are too often pieced together by hand from timesheets that were never set up for it. In Feuille de temps, employees split their hours by project when they fill in their timesheet, and the report takes a few fields to produce.

How does the team record hours by project?​

Once the day's hours are entered, the employee opens the allocation window and enters how many hours they spent on each project they are assigned to. The total is shown next to the hours worked that day, so a gap can be spotted before signing. See Splitting your hours by project.

What if a project has several parts?​

A project can be split into sub-tasks, for example intake, programming and reporting for the same program. Sub-tasks are offered to everyone assigned to the project. See Manage the sub-tasks of a project.

What is in the report?​

The project report arrives by email as an Excel file. It gives total hours by project, a weekly breakdown and a breakdown by employee, for the period you choose. You can limit it to certain projects, such as those funded by one grant, or to certain employees. Archived projects remain available for reports on past years.

Why is it more reliable than a separate spreadsheet?​

Hours by project are recorded on the same timesheet as paid hours, signed by the employee and countersigned by a manager, not in a spreadsheet kept on the side.
